Carmichael UK are recruiting for a Fleet Co-ordinator on behalf of a Tier 1 contractor. 


Location: Widnes

Salary: Up to £32,000

Job type: Permanent


The Fleet Co-ordinator role encompasses a variety of key administrative tasks, to ensure the continuation of fleet process, database upkeep, vehicle and driver compliance, vehicle purchasing, management and hire. The role includes but is not limited to a number of the below tasks.


Specific Tasks and Responsibilities

  • Source all car and commercial vehicle hires
  • Review all current hires on a daily basis and generate hire reports for customers
  • Process all car hire invoicing from suppliers including queries
  • Raise invoices or all intercompany and external companies for car hire recharges
  • Raise recharge invoices for all external company commercial hires
  • Produce and send P11d reports for external clients
  • Produce and send current hires reports to supervisor and stakeholders
  • Process Damage and recharges for all companies • Order new cars for grades A-C for all companies
  • Confirm vehicle orders with the end users • Update Jaama fleet system with new vehicle details, commercial vehicle movements, all hire vehicle information and event diary
  • Arrange deliveries of new vehicles and return of previous vehicle.
  • Re-Allocate stock vehicles
  • Follow up with end user the car they receive is as expected and the new P11d details
  • Produce and send current delivery/status reports to all companies
  • Recharge Invoices for overseas hires – external companies
  • Manage all Parking/Toll/Authority Letters and fines
  • Organize VED renewals and confirmations for the fleet and chase any outstanding MOTs .
  • Update the Motor Insurance database daily with on / off hires for externally hired vans
