A main Joint Venture on HS2 is looking for a Passport Coordinator to work out of their Birmingham head office. The contract is for at least 9 months and is to start as soon as possible.

Description of Activities to be undertaken

  • Co-ordinate and administer the HS2 site access and on-boarding systems on behalf of Fusion
  • Coordinate and control all HSEQ documentation using a variety of systems e.g. Viewpoint 4P, AssessNET, SHEQ Tracker etc.
  • Coordinate inductions for all staff and sub-contractors and manage all associated documentation
  • Maintain the COSHH assessment register and provide updates to managers as necessary.
  • Roll out any new or updated Health, Safety & Wellbeing systems, processes and procedures across the business.
  • Booking of all company external training courses, raising the necessary internal paperwork and ensuring authorisation is sought from Senior Management
  • Arranging sponsorship forms (for applicable course) and providing the payroll department with details of all delegates issued with a sponsorship form
  • Managing training and competency records
  • Assisting in safety award submissions of RoSPA, BSC etc.
  • Preparation of basic SHEQ documentation such as posters, alerts, bulletins, pre-qualification questionnaires answers etc.
  • Maintain business management systems, promoting consistency, continued relevance and accuracy.
  • Communicate management system updates to the business
  • Collate Health, Safety and Wellbeing data to support improvement plans
  • Update databases, dashboards and improvement plans for communication to the business
  • Attend and minute team meetings and manage resulting actions
  • Complete other general office administration duties and provide team support when required.

Minimum Qualifications Needed for Role

  • Computer literate with a good knowledge of MS word, Excel, Visio and PowerPoint
  • Working knowledge of document management systems i.e 4Projects, Sharepoint
  • Minute taking and report writing
  • Ability to work autonomously and effectively prioritise
  • Attention to detail
  • Ability to challenge and resolve problems to conclusion
  • Ability to liaise between various contractors on site, the project delivery team and the client on all site access and on-boarding matters.
