Personal Assistant

Our client a contractor that specialises in land remediation and ground works requires a Personal Assistant to join their team based of London Bridge.

Job Purpose:

Provides support to senior management within the organization including managing director, technical and commercial management as well as assisting other office members. Scheduling, correspondence and meetings. Taking responsibility and ownership of office organization, project management, deadline compliance and important documents and files.

Job Duties:

  • Organise and schedule meetings
  • Prepare meeting agendas and taking minutes during meetings
  • Book business travel arrangements, including flights, transportation and accommodation for senior management and other staff members.
  • Maintain office correspondent, copying tender documents and archiving.
  • Perform reception duties such as answering phones where necessary and greeting guests.
  • Manage the diaries and schedules of senior management where necessary and help out the whole office with administrative duties (5 people)
  • Communicate with board members, schedule board meetings and arrange meeting agendas.
  • Liaise with clients and business guests
  • Solve simple IT problems and contact the IT department when necessary
  • Maintain electronic filing system, ensuring processes and software are up to date and in working order.
  • Manage project tender deadlines and follow up with team members where required, highlighting critical items in tender documents to relevant departments.
  • Organising site visits etc
  • Liaise with other staff members on behalf of senior management
  • Manage plant hire to include developing external relationships such as wholesalers, costing and budgeting and preparation of monthly reports, spreadsheets and accounts
  • Working as a buyer and negotiating to achieve the best price, research for pricing
  • Ensuring the office is tidy and supplying refreshments when necessary,
